BUILT AROUND YOUR BRIEF
A conference has several audiences.
Your delegates remember the discussions. Sponsors need a record of their presence. The next audience needs to understand why attending matters. We build the photography plan around those different uses, with coverage of the main programme and the conversations that happen around it.
BEFORE THE DATE GOES IN THE DIARY
Four things to bring to the brief.
01Agenda, rooms and session overlaps
02Speaker names and priority delegates
03Sponsor commitments and accreditation
04Press, social and delegate-email deadlines
01
Map the rooms and the moments.
Send the agenda, room plan and speaker list. We identify the keynote photographs, panels, audience participation and networking periods that matter most. If sessions overlap, we agree which room has priority or whether the brief needs more than one photographer.
02
Make sponsor requirements specific.
A logo in the background is not always enough. Name the stands, activations, partner interactions and presentation moments your sponsors expect to see. We can build those into the shot list while keeping the resulting photographs natural and useful to your own event marketing.
03
Keep delivery connected to your communications.
Tell us when the press release, delegate email and next-event promotion are due. We agree an editing and delivery plan, including any smaller first selection. If you also need full talks recorded, conference filming is a separate, complementary part of the production brief.

SCOPE, EDITING & DELIVERY
A clear brief. A considered quote.
Our published photography rate starts at £249 for the first hour per photographer, then £99 for each additional hour. The final quote depends on the coverage, location, crew, planning and finishing you need.
We agree the image selection, editing, file formats, intended use and delivery date before booking. Tell us about detailed retouching or an early selection so the time is included in the plan. Check our current photography pricing and request a quote for your specific shoot.
We are based near Sudbury in Suffolk and work across Essex, London and the UK. Travel and location arrangements are agreed for each booking.
PRACTICAL ANSWERS
Conference Photography: your questions.
Will photography disturb the presentations?
We agree working positions and venue restrictions with the organiser, and choose our movements around the session rather than interrupting a speaker.
Can you photograph networking as well as the stage?
Yes. Include breaks, receptions and exhibition periods in the coverage schedule so these have dedicated time.
Can we have a headshot station for delegates?
Raise this in the brief. A portrait setup needs space, a booking or queue arrangement, and potentially a separate photographer from the conference coverage.
Are presentation slides included?
We can photograph the room and screen in context. Supply original slide files if readable slide content is required elsewhere; a room photograph is not a replacement for the presentation files.
LET’S TALK ABOUT THE SHOOT
