USEFUL ANSWERS

CONFERENCE
FILMING FAQ.

Practical answers about planning, filming and making the most of your event content.

What types of conferences and events do you film?

We film business conferences, exhibitions, seminars, panel discussions, awards and networking events. Conference video production can include a highlights film, complete speaker recordings and interviews, depending on your programme. Our Hampshire Business Show project shows how one event can provide several kinds of useful content.

Where do you provide conference videography?

We are based near Sudbury in Suffolk and film conferences across Essex, London, East Anglia and the wider UK. We plan travel, access and any overnight stays around your venue and running order. Tell us your location when you enquire about conference filming so we can account for the practical details.

Can you film multiple stages or breakout rooms at the same time?

Yes, with a crew planned around the sessions that overlap. A camera setup in one room cannot cover a talk happening elsewhere, so we agree which stages need continuous recording and where roaming coverage is useful. Our videography team can plan operators and equipment around those priorities.

Can you record full keynote talks as well as an event highlights film?

Yes. Full keynote recordings need continuous coverage and clear sound, while an event highlights film draws on stage moments, audience reactions and activity around the venue. We plan both deliverables before filming so the highlights coverage does not interrupt a speaker recording.

How many camera operators will our conference need?

The right crew depends on room sizes, simultaneous sessions, interviews and the finished films you need. A smaller single-room event may suit one operator with a planned multi-camera setup. Larger programmes may need dedicated operators for stage coverage, roaming footage or interviews. We recommend the crew after reviewing your running order.

How do you capture clear sound from speakers and audience questions?

We discuss the venue sound system with your AV team and plan suitable stage feeds, lapel or handheld microphones. Audio is monitored during recording and balanced during editing. Panel discussions and audience questions need particular attention, so we agree how those contributions will be picked up before the event.

Can you include slides, speaker names, branding and captions?

Yes. Conference recordings can include presentation slides, speaker names, branded opening titles and captions. Please supply the final presentation files and brand assets, and tell us which caption formats you need. We agree these elements during planning so the video editing and post-production brief is clear.

Do you offer speaker interviews and attendee testimonials?

Yes. We can set aside a quieter area for speaker interviews, sponsor comments and attendee reactions alongside the main event coverage. A short interview schedule helps avoid clashes with talks. Our interview videography approach keeps contributors comfortable and the questions focused on what your audience needs to hear.

Can you provide event photography alongside conference filming?

Yes. We can include professional event photography in the production plan. Where key moments need video and stills at the same time, a dedicated photographer helps ensure both are covered. Let us know whether you need stage photos, sponsor coverage, networking images or team portraits.

Can you make social media clips from the conference footage?

Yes. We can shape short speaker excerpts, event teasers and interview clips for channels such as LinkedIn, Instagram and YouTube. Landscape, vertical and square versions can be planned alongside the main film. We agree framing, captions and deliverables in advance so your business video content works across the channels you use.

Can you help with live streaming a conference?

Live streaming can be discussed as part of your conference brief. The practical setup depends on the venue connection, audio feeds, viewing platform and the number of rooms or speakers. Share those details when you contact our production team so we can confirm what is suitable and how recording and streaming would work together.

How much does conference video production cost?

The quote depends on filming hours, crew size, locations, sound requirements and the number of edited deliverables. A single keynote recording and a multi-stage conference need different resources. Our filming and editing rates provide a starting point; send the date, venue and running order for a quote based on your event.

How soon will we receive the edited films?

We agree a delivery schedule before filming, including any review stages. If you need clips during the event or a fast highlights turnaround, tell us at the briefing stage so we can assess the editing time and crew required. Full talk recordings, captions and multiple versions are scheduled around the agreed scope.

What happens if the programme changes or the event runs late?

Conferences rarely run exactly to the minute. We keep in contact with your organiser and adapt the filming plan as sessions change. If an overrun affects crew hours or agreed coverage, we discuss the options with you. Sharing the latest running order and a named on-site contact helps us respond quickly.
