PROFILES / PUBLICATIONS / PROFESSIONAL EVENTS

When the picture travels, its meaning should travel too.

A photograph may leave your website and appear beside a speaker biography, in a partner’s newsletter or on the opening page of a report. The reader might never see the original brief. We plan Cambridge photography around the person, their role and the context a picture needs to carry when it is published elsewhere.

For a professional practice, a research team or an organisation sharing specialist knowledge, that starts with a small set of decisions: who needs to be recognised, what can be shown about their work and where each photograph will be used. You do not need to arrive with a finished shot list.

PEOPLE / PURPOSE / PRESENTATION

A profile picture is an introduction.

The expression, background and framing all influence that first introduction. We can agree a portrait approach before the session, then give each person enough direction to settle into it. A clean website profile, an editorial portrait in a workplace and an image for a visiting speaker’s biography can call for different compositions.

Hive Kids commissioned this staff portrait for its website. It shows a considered but relaxed introduction. For your own session, bring the page layout and any existing portraits that the new photographs need to sit beside.

  1. 01

    The profile

Decide how tightly the picture will be cropped, which way the person should face and whether the same image needs to work in a circular or square frame.

  2. 02

    The working context

Choose details that genuinely belong to the person’s role. A room, tool or activity should help the reader understand the work and be suitable for public view.

  3. 03

    The published conversation

At an event, a contributor listening or asking a question can be as useful as the formal lectern photograph. Include those moments in the coverage brief.

WIDER PORTFOLIO / LONDON EVENT PHOTOGRAPHY

A speaker. A contribution. The room around them.

An event collection needs photographs at more than one distance. A close view identifies the speaker; an exchange between people shows participation; a wider frame places the discussion in the room. We agree which of those views your communications team needs before following the live programme.

These photographs record My Home Life England’s twentieth-anniversary event in London: a formal presentation, contributions from the tables and a wider view of the audience. Explore the complete commission to see how the stills sat alongside the organisation’s other deliverables.

ON LOCATION / CAMBRIDGE

A Cambridge brief needs a few named decisions.

Agree these with the person coordinating the premises and the person who will publish the pictures. That makes the session easier to organise and the finished selection easier to use.

  1. Who owns the brief?

Name one contact for the people and timings, and one for the intended publications. They may be the same person; the useful part is knowing who can settle a question on the day.

  2. Which spaces are ready?

Send the actual address and room access arrangements. For a laboratory, workshop or controlled workspace, the host needs to identify suitable areas, equipment, inductions and anything that must stay outside the frame.

  3. What goes beside the picture?

Keep a simple reference list of names, roles and organisations as the session progresses. Have the relevant person check factual captions before they are published, particularly when several partners are involved.

THE FINISHED PHOTOGRAPHS

Think beyond the first crop.

Send an example of the page or publication that matters most. A narrow biography panel, a landscape report cover and a press handout have different space requirements. We can photograph suitable alternatives while the person and setting are available, then agree which formats belong in the delivery.

Tell us about a launch date or announcement before booking. If part of the collection needs review first, identify those pictures and the approver. The quote should define the selection, finishing, usage and delivery requirements rather than leave them to be resolved after the shoot.

WHAT TO INCLUDE IN YOUR ENQUIRY

The quote sets out capture time, image selection, finishing and intended usage. Image quantities, delivery timing, additional file versions and any specialist retouching are agreed for the project.

We travel to Cambridge from our established Suffolk and Essex bases in Great Cornard near Sudbury and Great Horkesley near Colchester. Sessions take place at agreed client premises or another suitable booked location. Include any arrival, parking and equipment-access instructions with the address.

Within 25 driving miles of the quoted base, travel is £0.55 per round-trip mile. Beyond that, mileage is waived and estimated round-trip driving time is charged at £49 per hour. Parking, tolls and other necessary travel costs are agreed separately.

BEFORE THE SESSION

A few practical questions.

Can you photograph people in a Cambridge research or technical workplace?

Yes, subject to the host agreeing the areas and activities that can be photographed. Tell us about any access restrictions, safety briefing, protective equipment and information that must not appear. We plan the photographic approach around those conditions.

Can new portraits sit alongside our existing staff pictures?

Send the existing page, example images and any brand guidance. We can plan the background, lighting and framing around them. Exact matching depends on the original setup and the space available, so we discuss that before the session.

Who supplies names, roles and factual captions?

Your organisation should supply or verify that information. A session reference list helps connect people to the correct photographs; the publication owner should check names, titles and contextual statements before release.

Can one booking cover portraits and a professional event?

It can, if the timetable allows a suitable portrait setup without leaving the event uncovered. Share both requirements before quoting. Simultaneous activity or a large portrait list may require additional coverage.

Do you have a photography studio in Cambridge?

Our established bases are in Suffolk and Essex. For Cambridge work we travel to agreed premises or a suitable booked space, with the location arrangements included in the brief.

Can the photographs be supplied for reports, profiles and press use?

Describe those intended uses and the required layouts when you enquire. The quote and delivery brief should agree the selection, finishing, file versions and usage terms. Send any publication specifications or deadlines before the shoot.

YOUR CAMBRIDGE PHOTOGRAPHY BRIEF

Tell us where the pictures will appear.
